As a notary public, one of your key responsibilities is to complete a notary block for each document you notarize. The notary block is a section of the document where you, as the notary, acknowledge that the signer appeared before you, signed the document in your presence, and provided satisfactory identification.
Here are some general guidelines on how to fill out a notary block.

Include the date and location

The notary block should include the date and location where the notarial act was performed. This information is important for record-keeping and can help prevent fraud or disputes about the timing of the document.

Check if the notarization was in person or online

Make sure you place a checkmark next to if it was in person or online notarization.

Identify the parties involved

The notary block should include the names of the parties involved in the notarial act. This helps ensure that the notarial act is being performed on the correct document and can help prevent fraud or confusion.

Verify the identity of the signer

The notary block sometimes include a statement verifying that you have verified the identity of the signer using acceptable identification documents. Make sure you understand the requirements for acceptable identification documents in your state or jurisdiction. Place a checkmark next to either Personally Known or Produced ID.

Type of Identification Produced

You will need to fill in the type of ID that has been provided. Some contracting companies require you add certain information such as the DL or Passport Number and expiration date, so check with that party.

Sign and seal the notary block

Finally, you should sign and seal the notary block using your official notary seal or stamp.

There will be variations so it is a good rule of thumb to get a general idea of the wording and be vigilant on not missing anything.

In a filled out notary block, there are no blank spaces and the signature and seal needs to have been placed. It is important to know what is required to be on the notary block in your state.

In conclusion, filling out a notary block is an important part of your responsibilities as a notary public. Incorrectly filling out a notary block can come with consequences both to you, the client and the contracting company.
Make sure you understand the requirements for the type of notarial act you are performing and follow these general guidelines to ensure that the notarial act is performed correctly and accurately recorded.
